Product launches often depend on a controlled guest experience rather than public registration or ticket sales. The operational challenge is connecting the invited Guest list with the Invitation, RSVP response, QR Ticket and entrance workflow, while keeping product launch teams aligned on the same Event data. Product launch guest management software should therefore support the complete invitation-only journey, not just email delivery or QR scanning. QRGATE is built for this operating model: the organizer creates or imports the Guest list, sends personalized Invitations, enables RSVP when needed, issues unique QR Tickets and records Check-in through authorized Entry Staff or Self Check-in. A product launch is the event context here, rather than a separate QRGATE product category.
What product launch teams need to control
An invitation-only launch may include press, partners, customers, employees, VIPs or other invited groups. These Guests can require different operational handling, but they still need to belong to the same Event context. A spreadsheet may hold names, an email tool may hold messages and a separate entry tool may scan codes. That division can make it harder to see which Guest was invited, whether an RSVP response was received, whether a QR Ticket belongs to the correct Event and whether a successful Check-in actually occurred.
- A predefined, organizer-managed Guest list rather than open attendee self-registration
- Personalized Invitations connected to the Event and the intended Guest
- Optional RSVP tracking that remains separate from actual attendance
- Unique QR Tickets linked to the relevant Guest and Event
- Staff-assisted or Guest-led Self Check-in using the platform’s business validation
- Event-linked Guest extras such as VIP access, meals, parking or gifts
- Reports and exports for operational follow-up and post-event review
A practical product launch guest workflow
A product marketing or event agency team can use the following workflow for a hypothetical invitation-only launch. The organizer remains in control of the Guest records throughout the process; a visitor does not add themselves to the Event through a public registration form.
- Create the Event and configure the relevant Event settings, including whether RSVP is enabled.
- Create the product launch Guest list in QRGATE or import it from a supported Excel format. The organizer can then manage and export the Event-specific list as required.
- Send personalized Invitations by email. Each Invitation is connected to the Event and Guest and can deliver the Guest’s QR Ticket as part of the invitation journey.
- If RSVP is enabled, let each invited Guest respond on their own QR Ticket page. The available current states are Pending, Attending and Not attending.
- Generate and provide unique QR Tickets. The QR Ticket identifies the relationship between the Guest and Event; it is not, by itself, a standalone admission right.
- At the venue, use authorized Entry Staff or enable Self Check-in. QRGATE applies its business validation and records the resulting Check-in event.
- After the launch, review Guest, RSVP, Check-in, Extra Items and other available Event reports or exports.
How QRGATE modules work together
QRGATE treats the Event as the shared context for the launch workflow. The modules are parts of one platform rather than separate products with disconnected records. This allows the organizer-managed Guest record to remain the reference point as the invitation and entry process progresses.
- Event: Provides the launch context and Event-level settings, including RSVP enablement and the Guest-facing Invitation language.
- Guest: Holds the invited person’s Event-specific record. Guests are created, imported and managed by the organizer.
- Invitation: Uses Event and Guest data to create and send personalized invitations through the documented email channel.
- RSVP: Records the invited Guest’s current participation response when enabled. A Guest can update the response on their own QR Ticket page during the supported Event lifecycle.
- QR Ticket: Provides a unique digital identifier connected to one Guest and one Event. The underlying platform rules determine whether a Check-in is valid.
- Check-in: Records the actual entry event after the platform validates the Guest, Event and applicable business rules.
- Entry Staff and Self Check-in: Provide two operational ways to initiate entry. Self Check-in uses the same business rules as staff-assisted Check-in rather than creating a separate validation process.
- Extra Items and Reports: Connect Guest-linked services or items to the Event and provide operational views, summaries and exports where supported.
Keep RSVP separate from product launch attendance
RSVP management is useful when a launch team wants to track participation intent before the Event. It should not be treated as proof that a Guest arrived. If RSVP is enabled, the Guest can select Attending or Not attending on their own QR Ticket page, or remain in the Pending / No response yet state. The Guest List can show the current RSVP status, provide an RSVP column and summarize or sort those states. A successful Check-in is a separate logged Event activity that records actual entry. An Attending RSVP does not automatically create a Check-in, and a Not attending response does not automatically invalidate the QR Ticket.
- Use RSVP to understand the latest response from invited Guests.
- Use Check-in to record what happened at the product launch entrance.
- Do not use RSVP totals as attendance statistics.
- If a Guest changes their response, the latest successfully saved response becomes current.
Choose staff-assisted or Self Check-in
The right entrance workflow depends on how the launch team wants Guests to initiate entry. With staff-assisted Check-in, authorized Entry Staff can identify Guests, apply the Event’s validation rules and record entry. With Self Check-in, the invited Guest initiates the process using their own QR Ticket or supported identifier, while the platform still applies the same central business rules. Both approaches remain connected to the same Guest and Event records.
- Use Entry Staff when the entrance team needs to guide Guests or handle exceptions in person.
- Use Self Check-in when the launch setup is suitable for Guest-led entry without staff initiating every Check-in.
- Use the same Event-specific data and validation logic rather than maintaining a separate door list.
- Use role-based access so Entry Staff can perform their assigned Event operations without being treated as Guests or full administrators.
Track VIP access, meals, parking and gifts as Guest extras
Product launches may include Guest-specific items or entitlements. In a hypothetical launch, the organizer might assign a parking entitlement to one Guest, a meal to another group or a gift to selected invitees. QRGATE’s Extra Items model connects these services, entitlements or physical items to the Event and relevant Guest. Their lifecycle can include assignment, availability and redemption or handover tracking where the configured process supports it. This is more structured than burying the information in free-text notes.
- Create Event-specific Extra Item types rather than relying on a fixed product-launch package.
- Assign one or more Extra Items to the relevant Guest.
- Let authorized personnel record applicable handover or redemption status.
- Use Extra Items reporting alongside Guest and Check-in information for operational review.
Use event language settings for international launch audiences
If an international product launch has invited Guests who prefer a language different from the admin interface, the organizer can choose an Event-specific Guest-facing Invitation language. This setting is independent of the admin language, and English can be selected on a non-English tenant. QRGATE-generated system text in the Invitation, Guest QR Ticket page and Calendar page follows the Event Guest-facing language. Organizer-entered content—such as the product launch name, description, venue, dress code and directions—is not translated automatically, so teams should provide that content in the language they want Guests to read.
- Set the Guest-facing language at Event level.
- Keep the admin interface language separate from the Guest experience.
- Use the same Event language across the Invitation, Ticket and Calendar QRGATE system text.
- Review organizer-entered launch content separately because it remains unchanged.
Where QRGATE fits—and where it does not
QRGATE is invitation-based event operations software for an organizer-managed Guest list. It is not a CRM, public ticket marketplace, payment processor or general marketing-automation platform. It does not provide an open attendee registration form or a process in which a visitor adds themselves to the product launch Guest list. This makes it a better fit when the launch team already defines who should be invited and needs to coordinate those invitees through entry.
- Choose QRGATE for controlled, invitation-only Guest operations from list management through Check-in and reporting.
- Use the organizer’s existing planning process to determine who belongs on the Guest list.
- Do not expect public ticket sales, payment processing or open attendee self-registration.
- For a capability not documented on this page, contact support@qrgate.org rather than assuming it is available.
A decision checklist for your next product launch
Before choosing product launch guest management software, map the complete operating journey rather than evaluating QR scanning in isolation. The following questions can help a marketing team, agency or venue decide whether an invitation-based workflow matches the launch.
- Will the organizer create or import the Guest list before Invitations are sent?
- Does the team need optional RSVP responses without confusing them with attendance?
- Should each invited Guest receive a unique QR Ticket connected to the Event?
- Will the entrance use Entry Staff, Self Check-in or a combination of both?
- Do VIP access, meals, parking, gifts or other Guest extras need Event-linked status tracking?
- Does the team need Guest List visibility, Check-in reports, Extra Items reporting or exports?
- Do international Guests need an Event-specific Guest-facing language?
- Is the requirement invitation-only Guest management rather than public registration or ticket sales?
Frequently asked questions
Can I import a product launch Guest list from Excel?
Yes. The organizer can create Guest records in QRGATE or import them from a supported Excel format. The resulting Guest records belong to the specific Event and can then be used for Invitations, QR Tickets, Check-in and reporting.
Can QRGATE manage an invitation-only product launch without public attendee registration?
Yes. QRGATE is designed for invitation-only Events with a predefined, organizer-managed Guest list. The organizer creates, imports and manages the Guest records; visitors do not add themselves through a public Event registration form.
Can invited product launch Guests RSVP?
Yes, when RSVP is enabled for the Event. Each Guest can respond on their own QR Ticket page with Attending or Not attending, or remain Pending / No response yet. A Guest can update a previous response during the supported Event lifecycle.
Does an RSVP response count as a product launch Check-in?
No. RSVP records participation intent, while Check-in records an actual, validated entry event. An Attending response does not automatically create a Check-in, and a Not attending response does not automatically invalidate the QR Ticket.
Can product launch Guests check themselves in, or can Entry Staff manage entry?
Both workflows are supported. Authorized Entry Staff can perform staff-assisted Check-in, while Self Check-in lets an invited Guest initiate entry with their own QR Ticket or supported identifier. Both workflows use the platform’s Event-specific business validation.
Can I track product launch Guest extras such as VIP access, meals or gifts?
QRGATE Extra Items can connect Event-specific services, entitlements or physical items to a Guest. Depending on the configured process, the team can track assignment, availability and redemption or handover status, then use related reporting for review.
Can the Guest-facing product launch Invitation language differ from the admin interface language?
Yes. The organizer can choose a Guest-facing Invitation language at Event level independently of the admin interface language. QRGATE-generated system text for the Invitation, Guest QR Ticket page and Calendar page follows that Event setting. Organizer-entered Event content is not automatically translated.
Does QRGATE support public ticket sales for product launches?
No. QRGATE is not a public ticketing or payment platform. It supports invitation-only operations based on an organizer-managed Guest list. If you need clarification about an additional capability, contact support@qrgate.org.
